Is a Transaction Coordinator Worth It? What Washington Agents Actually Gain

Organized real estate transaction file with a completed checklist: documents sent, timeline updated, clients informed

You can handle your own paperwork. But what does handling it yourself take away from everything else?

Picture a Tuesday evening. You’ve just sat down to dinner when your phone lights up. The escrow officer needs the latest addendum. Your firm flagged a missing document. Your seller wants to know if the appraisal is back.

None of it is hard, and each one takes only a few minutes. But together they eat into the time between appointments, interrupt your prospecting, and follow you home. Most days, they win.

Real estate agent's dinner interrupted by an escrow request for the latest addendum

The short answer to whether a transaction coordinator is worth it: Usually, yes, and you don’t have to be buried in paperwork to benefit. A good transaction coordinator picks up requests like these before they reach you. Deadlines stay on track, paperwork keeps moving, and with the right support, your clients hear from you regularly. You get your focus back for the work only you can do, and your clients get an experience they trust.

What does a transaction coordinator do?

It depends on who you hire. Washington has no transaction coordinator license or certification, so the title can cover everything from in-house compliance help to full management of the pending process. Before you compare prices, compare what’s included.

At Real Time Savers, none of our transaction coordinators hold a real estate license, and our work is strictly clerical. With our TC + Client Care service, here’s what we handle:

  • Brokerage compliance. Filling out your firm’s transaction reporting documents, submitting your pending file, and flagging missing checklist items while there’s still time to collect them.
  • Timeline and reminders. Adding every contract date to a timeline up front, then following up by email and texting you before priority items come due, so deadlines don’t catch you off guard.
  • Document delivery. Sending the sales contract and subsequent addenda to escrow, the lender, and the other agent.
  • Lender and escrow tracking. Following progress from loan application to signing, with a weekly update to every professional on the file.
  • Client communication. Keeping your buyer or seller informed throughout the pending process, with every message branded to you.

What stays with you: negotiation, contract terms, every decision that requires a license, and the final say on documents before they go out. We will never cross over into any activities that require a real estate license.

What are the benefits of a transaction coordinator?

Fewer interruptions

An email that takes two minutes to answer costs more than two minutes. You stop what you’re doing, find the file, work out the question, and then try to get back to where you were. When your coordinator already has the answers, and sends them before anyone asks, far fewer of those questions reach you.

You stop being the starting point

Handing off a task only helps if you don’t have to notice it, explain it, and check that it happened. With an experienced career TC, the lender gets the addendum without a reminder from you, and a missing document gets flagged early. You set the direction. Your coordinator carries the administrative work forward.

“Real Time Savers makes a huge difference to my business. I am able to spend time helping clients instead of tracking dates and running down signatures.”

The same process on every file

Most agents know what a well-run transaction looks like. Keeping that standard on every file is the hard part, whether you have one pending or six. Our process has been refined over 5,000+ contracts, so it’s already in place when your next file arrives. There’s no one to hire, train, or manage, and you work with the same coordinator on every file.

Time off that’s actually off

When someone else holds the timeline, a vacation doesn’t have to mean checking email at dinner. You name a licensed contact for decisions while you’re away, and the file keeps moving.

“You cannot believe the difference Real Time Savers made for me on vacation. For the first time in my career, I am no longer hesitant to take on more work.”

Where the value compounds: your client’s experience

To your client, getting the offer accepted feels like the finish line. In reality, it’s the start of weeks of inspections, appraisals, and loan conditions, most of it happening where they can’t see it. A quiet week can turn a happy client into a nervous one, and that’s when the “is everything still on track?” texts start.

How the pending period felt is what your client remembers. It’s what they share when a friend asks for an agent’s name. It’s also the hardest thing to keep consistent when your attention is on your next client.

That’s why keeping your client informed is at the heart of what we do. With our TC + Client Care package, the service most agents choose, your client hears from you consistently from mutual acceptance to closing. They receive:

  • A welcome email with the sales contract, timeline, and key contacts
  • Additional documents as they arrive
  • A branded status report every week, plus updates as milestones pass, even when there’s little news
  • Branded guides that set clear expectations
  • Congratulations and thanks at closing, with a well-crafted review request on your behalf, if you’d like one

Every message carries your name, photo, and branding, so the credit stays with you. You’re CC’d on everything, and any question about the contract comes straight to you.

“Their communication is fabulous with us and our clients.”

Is a transaction coordinator worth it for you?

Ask yourself:

  • Do routine questions from the lender, escrow, or your client break up your day?
  • Has a follow-up, firm upload, or client update ever slipped?
  • Do you want every client to get the same 5-star experience, whether you have one pending file or ten?
  • Are you planning to grow, or to take more time off this year?

If you said yes to any of these, a TC is worth a conversation. Some agents hire a TC to grow. Others want the business they already have to leave more room for life. Both are good reasons, at any volume.

When a TC might not be the right fit

A TC may not fit if you enjoy the administrative side and your own systems work well. If that’s you, our free Intro Email Templates can help you start each file off strong. Our service also won’t fit if you want someone to negotiate, explain contract terms, or guide your client’s decisions. That work requires a licensee.

Low volume isn’t a reason to wait. Agents with two or three transactions a year can benefit just as much. When a file comes along only every few months, it’s hard to remember every step, keep your client communication current, or justify paying for the tools that keep a file on track. A TC brings all of that with them, every time.

What does a transaction coordinator cost in Washington?

It varies with scope and with who you hire. At Real Time Savers, our pricing is built to be flexible. You pay a flat fee per file, billed to you outside of escrow, with no minimum commitment. Most agents choose TC + Client Care, our most comprehensive package, at $450. If you need less on a particular file, lighter packages start at $200. If a file terminates, a small prorated fee covers the work already completed.

See the full package comparison for every detail. If you’re on the fence, start with a single file.

Your next step

Your clients should hear from you consistently, even on your busiest days. Our TC + Client Care service gives you an experienced team to carry that communication and follow-through forward.
